Course Request Deadlines

The deadline to turn in course request forms is:

  • For a fall term, April 1 of the same year
  • For a spring term, October 1 of the prior year

Planning Calendar for Counselors

Date Activity Duties Example
January and February
Counselors identify fall and spring courses and estimate the number of potential students.
Counselors send reminder emails to facilitators for student numbers. Since pathways have been identified, we know which courses are planned, so we are more focused on the number of sections that need to be filled.
At Twin Rivers, counselors plan for the next academic year during these months.
March and April
Counselors identify fall and spring courses and estimate the number of potential students.

Counselors:

  • Send finalized courses/sections to facilitators.
  • Email ARC deans and department chairs with the courses and number of sections, and request names of instructors, sections to which instructors are assigned, and ISBN for textbooks. If using OER, provide that information as well. Only experienced online instructors are assigned to these sections.
Twin Rivers interprets the Williams Act as having a hard copy or PDF available of digital materials for core subjects.
April
Plan for fall term launch, including high school facilitator training.
Contact ITC Coordinators at itctraining@arc.losrios.edu for late summer Canvas training for high school facilitators.
At Twin Rivers, counselors plan for the next academic year during these months.
May through August
Counselors check in with facilitators and ARC instructors.

Counselors:

  • Communicate with ARC instructors by sending welcome emails providing contact information for their high schools (including counselors, teachers, and managers) and the times students are assigned to labs. ARC instructors may hold virtual office hours or other synchronous activities during labs.
  • Ensure that students have received appropriate textbooks at all sites.

ARC instructors:

  • Add the high school facilitators to Canvas courses with NEA-sanctioned IDs. Facilitators have the role of "tutor," which grants them the same permissions as students but distinguishes them from students.
August
Fall term begins.
  • Confirm textbook status.
  • Conduct training for students and high school facilitators.
  • Serve as the contact between the ARC instructors/deans and the high school facilitators during the semester.

Roster Information

The following student information is needed on the roster:

  • Student's first and last name
  • Student's birthdate
  • Name of student's high school
  • Student's grade level
  • Student's transcript
  • FLC ID number

Withdrawal Procedures

We encourage students to withdraw from a course if they are likely to earn a D or F. A withdrawal date is established each semester. The date will be communicated to the high school counselors and all dual-enrolled students. After a student withdraws, they should verify a "W" grade by logging in to their eServices account or checking with their Dual Enrollment instructor. If a student does not withdraw, it may result in an "F" grade on the student's transcripts.

Counselors can help students withdraw from or add a course via the following steps:

  1. The student schedules an appointment with their high school counselor.
  2. The high school counselor uses the Add/Drop form (sign and initial).
  3. The high school counselor sends the completed form to ?
  4. The college counselor initials all forms and sends them to the DE staff for processing.
  5. Confirmation emails are sent to the high school counselor.
